Department of Development Services and Public Works


ADMINISTRATIVE ASSISTANT ~ This position involves providing administrative and clerical support to the Department Head.  The Administrative Assistant monitors purchasing activities including bids, construction and development projects.  This position also monitors state and federal grant-funded projects to ensure deadlines for reporting are met.

  • Performs clerical office functions such as word processing, filing and telephone
  • Maintains inventory of department vehicles; maintains keys for vehicles and department buildings
  • Receives and answers questions from visitors; receives sales calls and vendors
  • Responds to citizens, salespersons, contractors, etc. concerning policies, procedures, information and guidelines with regard to department operations; receives complaints from public, triages and assigns follow-up to appropriate department manager.  Enters information into a work order system.
  •  Orders all supplies for the department
  •  Assists scheduling of Director’s calendar
  •  Maintains follow-up, project and department files
  • Assists Director with budget spreadsheets
  • Maintains vendor files, tracks purchases and provides bid specifications to City Clerk
  • Tracks department projects and maintains calendar of important due dates i.e., those related to state and federal funded grant projects
  •  Receives and codes department invoices for approval by Director.  Responds to inquiries from contractors and vendors regarding payment
  •  Calls in repairs and programming needs, orders new department equipment
  •  Provides information to the general public and other departments
  •  Advises department managers regarding problems reported, requests, etc. 

Candidates are required to possess a high school diploma (or equivalent) and a valid driver’s license.  A Professional Secretary or Administrative Professional Certification is preferred, but not required.   Applicants must satisfactorily pass a background investigation and pre-employment drug screen after receiving conditional offer of employment.

The starting compensation for this position is $41,412.00, depending on certification, training, and/or experience.  The City of Pelham also offers an excellent benefits package.
